Range Photography Policy

The Board of Directors has adopted a policy to clarify expectations around taking photos and videos on the range during public events and during lessons. The policy allows any photography during public events and allows the club to use images it takes for promotions and social media, it also establishes an opt-in standard for image taking during lessons or other non-public events. The club will also provide images it owns freely to members. Per bylaw 1, the policy takes effect on 22 November 2024.

Membership Policy and Bylaw 1 updates

Over the summer, the Board of Directors made updates to Bylaw 1 as well as the Membership Policy. These changes updated membership policies to introduce a fixed annual fee in addition to program fees in order to participate in corporate governance, memberships issued in the summer under the old policy are still valid. Bylaw 1 was amended to adjust Board governance procedures and to add specific text about bylaw amendments and board rules and policies. Members will get to vote on the updated bylaw at the annual meeting in spring 2025.

2024-2025 Arrow Fine and Broken Equipment Value Schedules

The Discipline committee met on April 20 and passed an Arrow Fine Schedule and Broken Equipment Value Schedule in effect for the fiscal year 1 May 2024 to 30 April 2025. Please note, cedar arrows now no longer carry a damage fine and the value of Oreo has been reduced by 50% given wear and damage.

2024 Annual Member Meeting Notice

On March 23, 2024 we sent a notice announcing our 2024 member meeting for Carleton Archery Club, Inc. Anyone who is a member is eligible to attend at 15:00 in IH2404. CUAC's member meeting will happen right after. The notice can be found here.

Privacy Policy Amendment

On March 16 the Board adopted amendments to the Privacy and Information Management Policy to update the list of service providers the club works with and to add a policy on email communications.

Discipline Committee Members

On January 20, the Board appointed members to the Discipline Committee. The committee members are Justin Nevills (committee chair), Jinping Wei (committee vice chair), and James Vellan.

The Discipline committee met on January 20 and passed an Arrow Fine Schedule and Broken Equipment Value Schedule in effect for the fiscal year ending April 30, 2024.

Maintenance Fund

On January 20, the Board created a restricted fund- which is a cash fund with a specific purpose that can only be used at the express direction of the Board- to save for future maintenance and equipment purchases. All equipment fees and arrow fines will be directed into this fund. Information about this fund will be included in the financial statements and notices of withdrawals and their purpose will be posted to the website once approved by the Board.

Board Policies Passed

On January 20, the Board of Directors of Carleton Archery Club, Inc., approved a series of policies, including a membership policy, to outline how the club will operate and to meet our obligations. The policies supplement the Bylaws and other resolutions of the Board of Directors. As part of our commitment to transparency in our governance, all Bylaws and Policies as well as any resolutions impacting the members, will be posted to the website in addition to other notifications that may be required (such as by email to members for some notices).

Bylaws Passed

Pursuant to the Not-for-Profit Corporations Act, 2010, Carleton Archery Club, Inc., has adopted two bylaws governing the corporation. Bylaw 1 deals mainly with administrative matters such as corporate meetings, director elections, membership, and the board. Bylaw 2 deals with discipline and safety matters and adopts the relevant rules and codes of conduct of Archery Canada on the archery ranges we operate.
